Coldwell Banker Realty has guaranteed and pre-paid for your accommodations at the Grand Hyatt Baha Mar.  There is a $100 cancellation fee between now and Tuesday, August 5. Invitees understand that cancellation request after 8AM EST on Wednesday, August 6 will incur a $500 fee. For cancellation requests received after 8AM EST on Friday, September 5, the fee increases to $1,500. Coldwell Banker Realty will not reimburse any flights for cancellations at any time. All charges will be applied to the qualifier’s credit card provided during the accommodation booking process.

  • Coldwell Banker Realty will be covering the room and tax for qualified hotel rooms over the official event dates of October 19 – 22, 2025. 
  • Coldwell Banker Realty will cover the cost provided in room types described as 1-King Bed or 2-Queen Beds or 2 Queens Beds with Fountain view for your stay from check in on Sunday, October 19 and check-out on Wednesday, October 22, 2025.
  • Any room upgrades or extended stays beyond those event dates will be the guests responsibility.  If you would like to upgrade your room at your own expense, please do so by Monday, July 7. Room upgrades can be selected when you book your room. Please be advised that room type is subject to change based on availability upon check in
  • A credit card is required to secure your reservation but, it will only be charged, upon check in, if you opt for an upgraded room or extend your stay; as well if you cancel within penalty or no show to the event. 
  • Due to how the system is set up, the folio upon completing the booking will reflect the full stay dates; however, final billing will reflect only what is due from the guest. 
  • A Passport and credit card will be required at hotel check-in to cover any incidentals.
  • Grand Hyatt Baha Mar will do their best to accommodate early check ins but, this is not guaranteed. Please be patient during the check in process. For any guests whose rooms are not ready, Grand Hyatt Baha Mar will hold your luggage and guests can utilize the registration lobby facilities to change. Please be sure to pack pool attire in your carry on to start your relaxation immediately.
  • Hotel confirmation emails will be sent from the Grand Hyatt Baha Mar. If you don’t receive your confirmation, please email events@cbrealty.com.

Extending Your Stay
Please review the below information if you’re interested in extending your stay.

  • The group room rate at Grand Hyatt Baha Mar is not guaranteed for any pre or post reservation extensions.
  • All rooms will be booked via a booking link which is provided during the registration process. You will have the opportunity to select which days you would like to check in and out. The rate will appear on the site for the specific day you’re interested in.

  • Coldwell Banker Realty will be reimbursing for flights up to $600 for the qualifying agent.
  • All agents must book their flights prior to completing the RSVP form. Each qualifier is required to upload their flight receipt during the RSVP process.
  • Due to IRS regulations, we are unable to reimburse for any flights that were purchased with miles. Baggage and upgrade fees are also not reimbursable.
  • If you’re unable to secure a direct flight, we recommend that you fly into Miami and take the short 20 minute connecting flight to Nassau. 
  • Coldwell Banker Realty will not reimburse any flights if a qualifier cancels.
  • A passport is required to fly to Grand Hyatt Baha Mar in Nassau, Bahamas. While the Bahamas doesn’t have a six-month passport rule, some airlines may not allow passengers to board if their passport doesn’t meet the six month validity requirement of the United States. If your passport is close to expiring, we recommend you renew immediately.
  • All reimbursements will be complete after the event has concluded.

If your flight is not booked by Monday, July 7, 2025 at 8am ET your room will be released.

  • We have arranged group transportation for each qualifier arriving on Sunday, October 19 and departing on Wednesday, October 22, 2025. This includes any registered and paid guests. Please note that all registered guests must be paid for in advance. Unregistered guests will not be permitted on the transportation.
  • Attendees will be grouped together based on arrival and departure times.
  • Pick up information will be communicated to attendees prior to the event.
  • If an attendee chooses to extend their stay, they will be responsible for booking their own transportation.

Your experience includes:

  • Accommodations: Enjoy a three-night stay at Grand Hyatt Baha Mar arriving on Sunday, October 19, and departing on Wednesday, October 22. If you would like to extend your stay, you can indicate your requests during the RSVP process.
  • Roundtrip Coach Airfare: Coldwell Banker Realty will be reimbursing for flights up to $600 for the qualifying agent. Agents are responsible for booking their own flight. Due to IRS regulations, we are unable to reimburse for any flights that were purchased with miles. Baggage and upgrade fees are also not reimbursable.
  • Ground Transportation: Roundtrip airport ground transportation between Lynden Pindling International Airport (NAS) and  Grand Hyatt Baha Mar will be provided for qualifiers and for paid guests only. Attendees will be grouped together based on arrival and departure times and is only provided over the event dates. 
  • Networking and Relaxation: Take advantage of the opportunity to network with top agents and relax at this stunning beachside resort.
  • Please note, all meals outside of the agenda items are at the expense of the attendee.  

Invitations are non-transferrable. If the team lead cannot make the trip, they cannot send anyone in their place.

Agents who receive a company-paid trip will have the opportunity to purchase one (1) same room guest package. A Guest package is at your own expense of $595.  Guests are invited to attend all events listed on the event agenda. We ask that only guests who are Coldwell Banker Realty agents attend the general session. Please note, guest flights are not reimbursable.

Guest packages can be purchased during the RSVP process.  If you need an additional room for your guest, we can add you to the waitlist until RSVPs are complete. If you prefer to book a room directly through the Hyatt at the non event rate then that is an option as well. 

When booking travel, we recommend you plan to arrive at the resort in time for our Welcome Reception, hosted at 7:00pm on Sunday, October 19th.

RSVP Process

Step 1 – Book Your Flights

A flight receipt and flight details will be required in the RSVP form below. Reimbursements will be processed after the event. Please note: Only guests arriving on Sunday, October 19 and departing on Wednesday, October 22 will be included in group transportation. If you arrive or depart outside these dates, you will be responsible for your own ground transportation. Also, please ensure your passport is valid beyond your travel dates. Many countries and airlines require passports to be valid for at least six months beyond the date of travel. 

Step 2 – RSVP
Please select the button below to RSVP. Ensure all requested information is filled out so that you are included in the Member Directory. A high-resolution headshot 10MB and under is required for inclusion. During the RSVP process, you will have the opportunity to purchase one same-room guest package. At this time, we can accommodate only one guest per attendee and cannot provide separate rooms for guests. We are prioritizing qualifiers during the RSVP process. If you require a room for your guest, we can add you the waitlist until the RSVP date has passed or you can purchase a room through the Hyatt for the non event rate.
